Nowadays email is one of the most popular forms of communication, especially in business. Everyone has an email address, and most companies direct people to their email for questions or queries.
However, emails never stop!
When you clock off for the day, or have a week off for vacation, the emails just keep coming. When you return to work after a weekend or time off, you may feel the dread of opening your email inbox wondering how many emails you have to wade through?
I know checking email can be addictive, especially as we all carry around mini computers (our phones) that enable us to check in so easy. But you can’t be checking emails all the time, you need some time off, away from work to spend with family and friends.
Believe me, I know how hard it is to not just check in quickly with email when you’re not supposed to be working. I’ve had a weekend ruined because I checked email and there was some bad news. Surely it’s better that way than wait until Monday and end up with lots of emails to respond to??
NO! I believe there is another way, that enables you to take a step back from worrying about your email, but in the knowledge that it is still being checked and responded to and anything urgent will be brought to your attention.
Outsourcing your email management can free up your time so that you don’t need to be checking it all the time, and you can get back some work/life balance in the life favour!
Emails can be set up so that they go straight into a designated folder rather than straight into your inbox. This is ideal for things such as Newsletters you’ve signed up for, or customer reviews. This way they will still show up as new and unread, only in their own folders and not the inbox. Then you can check them at your leisure, knowing what they are and whether they are important or not.
Unsubscribing you from any unwanted emails can take time, but again this is something you don’t need to personally do, that’s the joy of outsourcing. With a list of companies you no longer want emails from, they can be unsubscribed and stop clogging up your inbox.
Going through your spam folder to ensure it is all actually spam – I’m sure we’ve all had at least one important email end up in spam!
If you are worried about someone else responding on your behalf, a great idea is to set up template replies that can be used depending on the enquiry. This ensures it is your ‘voice’ that is responding.
